The quality policy is based on striving to:

PromoNotes has implemented and maintains an Integrated Quality, Environmental, and Occupational Health and Safety Management System that supports the development of our organization and positive relationships with stakeholders.

The Integrated Management System (IMS) Manual is a key document describing how the quality, environmental, health and safety, and CSR management systems operate at PromoNotes sp. z o.o. Its purpose is both to support employees in implementing the quality policy and to ensure transparency of operations towards customers and external stakeholders.

The book consists of three main parts:

1. Information section – contains basic information about the company, its structure, and management policies. It includes, among other things, a presentation of the company, the Integrated Management System Policy, and the organizational chart.
2. Introduction to the QMS – describes the scope of the system, the structure of documentation, and the rules for managing the Book itself. It also specifies that the QMS covers all of the company's activities related to the production of personalized stationery, with the exception of product design.
3. Detailed description of ZSZ – presents a process-based approach to management, a list and links between processes, and detailed descriptions of processes in the form of process maps and process cards.

The IMS Manual is managed in a modular way, allowing for easy updates. Responsibility for its development, updating, and distribution rests with the IMS Representative. There are two versions of the document: updated internal copies and non-updated informational copies for external recipients.

By implementing and applying the QMS Manual, the company ensures transparency, consistency, and effectiveness of its activities, as well as the possibility of continuous improvement. Documentation supporting the system—including procedures, instructions, and forms—allows for maintaining high quality of services and compliance with legal requirements and customer expectations.

At PromoNotes, we operate in accordance with applicable whistleblower protection laws and have an internal procedure for reporting irregularities. We provide secure, confidential, and accessible communication channels for anyone who wishes to report potential violations of the law, internal procedures, or ethical principles. Each report is treated with due diligence, and whistleblowers are protected from retaliation.

Internal reports can be submitted as follows:

• In writing, by letter – by sending the report in a sealed envelope marked “Report of irregularities” to the address of the PromoNotes headquarters,
• In writing, to the dedicated email address: sygnalista@promonotes.pl,
• In writing, via the drop box located in the administrative section of the company building,
• Verbally, during a face-to-face meeting – organized within 7 days of submitting a request for this form of contact,
• Verbally, by phone – at 660 575 031.
